I. GENERAL INFORMATION

1. Time and location

• Time: 08:00 a.m. – 05:00 p.m. on 29^th – 30^th November, 2023
• Location: National Convention Center, 57 Pham Hung Str., Nam Tu Liem District, Hanoi

(Can be adjusted depending on reality and will notify the exhibitor in advance)

3. Participation benefits

• Exhibitor logo appears in website https://smartcitysummit.vn/ & website vinasa.org.vn
• Arranged a delegation of senior leaders to visit the booth during the opening session of the Summit on the morning of November 29
• Use Summit images and logo for PR and advertising on mass media channels
• Priority to introduce, connect, cooperate, and sign contracts right at the exhibition booth (if there are customers in need)
• 01 free online booth at Summit website https://smartcitysummit.vn/
• Posted 01 PR article introducing the product/solution on the website https://smartcitysummit.vn/; https://vinasa.org.vn/; https://danhbaict.vn/

4. Registration fee

• *Special fee applied for: VINASA members; companies won awards organized by VINASA in 2023: Sao Khuê, Top10ICT, Smart City Award
• Register for 02 booths to get a discount of 400 USD/booth (applies to standard booths)
• Register from the 3rd booth for a discount of 600 USD/booth (applies to standard booths)

5. General rules and regulations

• Registration deadline: 15% discount when registering before October 15, 2023. Contact Organizer representative for preferential prices
• Organizer are responsible for security and general safety. Exhibitor companies are responsible for security and safety within their booth throughout the duration of the exhibition
• Exhibitors need to comply with security and safety regulations at the exhibition location
• Exhibitors are responsible for compensation for damage to standard booth equipment provided by the Organizer
• The Organizer is not responsible for problems arising due to failure to comply with the above regulations

II. Registration instructions

Step 1: Register for an exhibition booth/counter

Directly contact with the Organizer representative or at the Summit website https://smartcitysummit.vn/dang-ky-trien-lam/

Step 2: Payment

• Sign the contract
• Payment documents: contract, payment request letter, valid receipt
• Payment of participation fee:

Payment term: after 05 working days from the date of signing the contract

Step 3: Provide information, Exhibitors send back to the Organizer the following documents:

• Exhibitors logo (high-quality image file)
• Exhibitors’ website (if any)
• Booth design file size 3m x 2.5m (for standard booth backdrop)
• Provide information about the representative on duty at the booth and participating in the conference (full name, title, phone number, email)

Deadline for sending information: no later than November 15, 2023

*** For Exhibitors with online booths, please send back the following information:

• Exhibitors logo (file .jpg, 500kb – 2Mb)
• Exhibitors introduction video on YouTube (maximum 05 minutes) to upload on websites
• Link to download the Exhibitors profile for BTC to add online store (for view/share format)
• Online booth representative information (full name, phone number, email (account) to create Quickom)
• Set up a Quickcom CONTACT Center account (quickom.com/downloads) to receive Video conference
• Note: the email to register for a Quickom account must be the email of the staff on duty at the booth, to respond and interact with customers

Step 4: Receive booths and participate in exhibitions

• Staging and decoration: 02:00 p.m. on 28^th November 2023
